Suspense account

By · Last updated

A suspense account is a temporary ledger account that holds items which cannot yet be posted to their proper account, such as unidentified receipts, rejected payments or entries awaiting information. Items should be investigated and cleared quickly, because ageing balances hide errors and risks.

How it works

The Federal Reserve's own accounting manual describes its general suspense account as holding items temporarily held in abeyance pending disposition, including items that need more information or verification. Its examination manual for US branches of foreign banks says a deposit suspense account processes unidentified, unposted or rejected items, which characteristically clear in one business day.

Examiners treat these balances as higher risk because the transactions are incomplete and need manual processing. They look for reports on open items that show ageing and the status of significant items. The FDIC warns that weak controls over suspense accounts make unauthorised settlements or disbursements easy, and says the person who reconciles them should not be the person who enters the data.

In payment firms, inbound payments with missing or wrong references are a common source. Each item is matched to a customer, returned to the sender or escalated. Unmatched receipts also hold up cash that cannot be used for payouts until they are resolved.

Example

Monday's inbound payments include 60 credits worth $412,000 with no matchable reference, and they go to suspense. By Tuesday, 52 are matched on sender name and amount, 5 worth $9,000 are returned and 3 worth $14,500 remain. Those 3 are escalated, since they have passed the one-business-day norm.

Frequently asked questions

How long can items sit in suspense?

Set a limit and age every item. The Federal Reserve notes that deposit suspense items characteristically clear in one business day; older items need escalation and, if unresolved, return to the sender.

Who should review the suspense account?

Someone independent of the people who post entries. The FDIC says the person reconciling suspense accounts should not be the one entering the data.
